CALL TO ORDER
The Kansas City Region SCCA Board Meeting was called to order by RE Mike McGinley at The Bar on July 27, 2021 at 7:03 pm.

Board Members present: Ed Nicholson, Bill Johnson, Lisa Kern, Chris Kern, Greg Cheney, Donna Cross Paula Diehl, Tim Friest and Jessica Dorn

Board Member(s) not present: Reuben Samuels. Note: Rueben was on the phone for a discussion of the last RX event and AXWare License.

SECRETARY’S REPORT: (Ed Nicholson) 
Jessica made a motion to approve the minutes;  Donna seconded.  Motion passed unanimously.

Donna made a motion to approve the treasurers  report; Paula seconded.  Motion passed unanimously.

I also have the 2020 Taxes with me in case anybody wants to review or has questions. 

The Club had a $28,000 come due last week. The current rates for CDs are:

  • 6-month     0.05%
  • 9-month     0.05%
  • 1-year         0.10%
  • 18-month   0.002
  • 2-year         0.003
  • 30-month   0.45%

The future CDs we have coming due are:

  • $12,000     2/25/2022
  • $31,000     6/2/2022
  • $12,000     2/27/2023

Please consider any upcoming purchases/expenses the Club may incur so we can plan to have CD money available if needed.

Should we place the $28,000 back in a CD, 6, 9 or 12 mo. Bill made a motion for the 9 month CD, Donna second and motion passed.

SOLO REPORT (Al Hermans cannot attend. Ed, please cover Al’s report)

We have held no solo events since the last BOD meeting.

Our next events are July 31 and August 1 and we have 109 entries spread out over both days.  Registration closes Thursday evening.

Solo Nationals still has 180 spots left.  There will be no tent rentals through SCCA, however, Greg Reno has contacted someone about renting a tent.  I have no idea on cost yet but do we want to authorize $600.00 (unofficial budget amount) to help with the cost?

Jessica indicates that Reni has money for a tent from 2020 and there should no expense for this year, So should be covered.

Solo has 8 events left this year. Note $3100 for a 2 day event.

MEMBERSHIP REPORT by email: (Paula Diehl)
We have 575 members. 13 new members

The gimmick rally did occur and there is interest in us doing it. Should we do our own rally? When? Could this be a gimmick rally followed by a picnic. (Lisa and Paula discussion).

KVRG REPORT (Chris Kern):
Heartland Park regional event was a hard event, did not get entries necessary and lost money. Need to reevaluate the regional road race program. We have a lot of square mileage for our division and limited race population. Conversations to occur next week with KVRG. Regional racing is having issues with driver participation. This is something to be focused.

RALLYCROSS REPORT (Rueben and Jessica providing Nile’s report):
Numbers
Our total number of drivers for the weekend was 37. We had 7 family entry fees at $40 and 30 standard entry fees at $45. We sold 8 stickers and 9 weekend memberships. Our gross revenue for the weekend was $1760.00.

Weekend Challenges
Leftover drag racers:
There was a race the night before at the sand drag that many of the competitors camped on site at. This left RV’s and other rigs and vehicle out around course and in paddock. Fortunately we were able to work around them and by late morning most of them were out of the way. We did have an issue later on with a truck driving out on the perimeter of the course, stopping racing for roughly 15 minutes while they were picking up equipment from the night prior.

Late start:
Due to a mix up in communication, the trailer arrived on site late, leading us to start later than we would have hoped. We ended up starting around 10:00am only about 30 minutes off from our posted time of 9:30am. We informed all competitors at the gate as they entered that we would start a little later than usual and no one seemed to have an issue.

Timing:
Timing issues were plaguing us for the whole day in a multitude of ways.

  1. We could not get live timing to work over the course of the day. Reuben tried to resolve the issue but was unable to. We will need to look into this further to figure out why it seems to work and not work inconsistently.
  2. Our start hose would not trigger after putting the start line on the dirt in the afternoon. We discovered this was due to the location it was at, being positioned on a section of the track that caused the car’s wheels to hop and not trigger the start hose. It took us a few reruns to figure this out, but once we moved the start to a different part of the track it resolved the issue.
  3. The timing boards would not display the times at the beginning of the day, and with no live timing, this meant people running 1st heat in the morning did not know what their times were. We were able to get one of the boards working, but could not get both working. This needs to be looked into further.
  4. At the end of the day, we had an issue with Axware adding phantom times into the final results. Reuben was able to figure it out, but it delayed our results from being posted the same day.

Rollover Vehicle:
We had a competitor in a side-by-side roll his vehicle late in the day. He came away with no injuries and the vehicle sustained a punctured radiator, but other than that had only superficial damage. We determined the rollover was not caused by the course, but rather the vehicle’s suspension setup and the driver loading up the vehicle too much while coming around a sweeper. This was KCRX’s first attendee in an ATV and it was his first SCCA event. He expressed after the event that despite the roll, he enjoyed the event and was looking forward to getting back out after getting the vehicle fixed. The RAC has a meeting tomorrow where we will discuss how to treat these kinds of vehicles in the future. 

Final Thoughts:
It was a rough event, there was many stoppages throughout the day due to various reasons and we ended the day only doing 6 runs which is well below the average of 9-10. Timing issues seemed to be a constant theme and the heat and humidity didn’t help. However the course was good, no one was hurt and we got to go play out in the dirt like we planned. There are adjustments that will be made as a result of this event and we will come out better for it.

Our next event is on August 15th with the planned site being Riverside.

Rueben comments follow: These issues, 1,2 &3 were due to the new equipment purchased for RX. Issue came from moving parts of the new equipment. Issue was with modules in the software and addins needed. Issue with the boards due to proprietary software. Lot of growing pains which will be worked out in future.

Paula, we are hoping to get the software on another computer for solo? 

Rueben, responded back for others to give information and we have unlimited licenses so we should be able to have multiple computers. Paula would like to have this information.

Mike, lets get the info to Rueben and should get out to solo advisory as well. Is there training videos for the software? Should we check with National for info.

  1. Picnic no dates in September, Oct 9 or 16th October 16th for a beer or wine gimmick rally and picnic. Need to work on price to cover the prize. Need to work on the detail, Paula and Lisa. Need Jessica to mention the road rally at the solo advisory meeting. Could the picnic be at the Holloweenie?
  1. 2021 Award Banquet in 2022- KCR banquet February 5th? Fiorella’s? Lisa has been checking out various locations. Since we skipped a year do we want to do something a little special. Yes, but we need to get some reasonable pricing for our members.
  1. General meetings start next week at The Bar on Johnson Drive. Website will be updated and a notice will be sent to the membership.
  1. Website, contract coming due. Do we keep paying or do we renew the contract. Board agrees we should continue. Bill made the motion to continue our contact, Ed second all agreed and motioned passed.
  1. Election committee for next year. Tim suggests that the SAC and the RAC pick a member each and Mike will pick two members per the bylaws. Lisa and Greg have volunteered as Mike’s picks.
