Kansas City Region SCCA Board Meeting
February 26, 2019

The Kansas City Region SCCA Board Meeting was called to order by RE Paula Diehl at Brewbaker’s on February 26, 2019 at 7:01 pm.

Board Members present:  Chris Kern, Paula Diehl, Tim Friest, Jessica Dorn, Lisa Kern, Todd Hesskamp, Bill Johnson, Jeremy Salenius, Mike McGinley,

Absent:  Al Hermans, Tara Young
Guests:  David Williams

SECRETARY REPORT (Lisa Kern, Secretary):  
Minutes from January 29, 2019 Board Meeting were approved.  Todd Hesskamp made a motion to approve the minutes; Chris Kern seconded.  Motion passed unanimously.

TREASURER REPORT* (Jessica Dorn, Treasurer): 
Mike McGinley made a motion to approve the Treasurer’s Report; Bill Johnson seconded.  Motion passed unanimously.

MEMBERSHIP REPORT (Tara Young, Membership Chair):
None

SOLO REPORT (Al Hermans, Solo Chair):  
Are we saving for the van if something goes wrong with it?   Tim is motioning for an extra budget line item from each discipline who uses the van to save monthly for the van repair/replacement rather than using the general fund.  We could realistically save $2500 per year. Should we use the balance between the solo and rallyx who use the van, based on percentage of entries? Al had suggested raising entry fees by $1; Tim is suggesting $2.  Some do not really want to raise entry fees. Should we use the year-end total?  Jessica would like to open a savings account to save specifically for the van.  Currently, the van is not a budgeted line item.

Mike McGinley made a motion to take $2500 from solo 2018 profits; $1000 from rallyx budgeted as a line item for the van and review mid-year 2019 to determine if we would like to add additional funding for the remainder of the calendar year. Total for calendar year would be $3500. Todd Hesskamp seconded.  Motion passed unanimously.

Tim Friest made a motion to approve a separate line item for the van on the solo budget.  Todd Hesskamp seconded.  Motion passed unanimously. 

KVRG REPORT (Chris Kern, KVRG Board Member):
We have lost money from our last year road racing.  Time trials have helped us significantly. All entries are handled individually by the group putting on the event. Flyers will promote mid-div time trials as well as the road race committee among everyone who puts on road races.  We need to find out ways to grow our road racing.  We are advertising tomorrow or at the latest Monday for our May event.  Track Night to time trials last year did not bring very many drivers over. 

RALLYCROSS REPORT (David Williams, Rallycross Chair):

  • Unnaturally Aspirated (Reuben Samuels’ Lung Transplant Charity) will be having a Charity Event on April 27th. The RallyCross program will be holding a Test and Tune during the event and all proceeds of the event will be donated to UA. We would like for all the SCCA programs to be represented there with vehicles and members on hand to discuss our programs to attendees of the event.
  • 2/26 – WaveSpec Performance Rotors and Maxsport Tires are the sponsors of the 2019 Kansas City SCCA RallyCross season
  • 2/26 – We have won the bid for one of three DirtFish RallyCross National Tour events for 2019 and it will be held on July 20th and 21st at Lucas Oil Speedway in Wheatland, MO (cross fingers for no rain)

  • June 23 – Reschedule Date Incase Event 1, 2, or 3 gets cancelled
  • July 20 & 21 – Mid-America Battle in the Dirt / Event #4 @ Lucas Oil Speedway
  • August 25 – Event #5 @ I-35 Speedway
  • September 20 – 22 – DirtFish RallyCross National Championship
  • September 29 – Event #6 @ I-35 Speedway
  • October 20 – Event #7 @ I-35 Speedway
  • November 3 – Event #8 @ Thunder Valley Sand Drags
  • November 24 – Event #9 @ Santa Fe Trail Cycle Park

ROADRALLY REPORT (David Williams reported):

  • “Rubber Meets the Road” Rally has been postponed until the Fall to allow me time to work on the event since I have lost the assistance of Rich Bireta
  • Missouri Rally Weekend
    • “West to Weston” Road Rally – TBD
    • “Rubber Meets the Road” Rally – TBD

SPECIAL COMMITTEES:
Website:  Mike McGinley has been researching SCCA websites for a more user-friendly format. He has found https://www.wdcr-scca.org/.  Rachel who designed the Washington DC Region’s website can also redesign the KCR website. She would charge $300 for new themes; $250 installation/redesign; $1600 different pages; maintenance updates are $300/mo on a 12-mo basis. Mike has volunteered to write the initial re-write of styles working with the chairs of each discipline.  

Grant – Mike McGinley applied for the grant and requested $3000. 

Monthly e-Newsletter – Mike McGinley, Bill Johnson, Paula Diehl and Jessica Dorn have volunteered to write articles for a monthly e-newsletter.  Jessica to email her draft in pdf form to the Board Members.

Mike McGinley made a motion to:

  1. Use the e-newsletter for the KCR website using Jessica Dorn’s format she has been working on.
  2. Send the e-newsletter via email using Constant Contact.
  3. Print the e-newsletter in a printable paper format for post-office mailing to KCR Members. The cost would be approximately $595.
  4. If the $3,000 grant is approved, we would move forward with the website redesign with no maintenance. Mike McGinley will confirm we do not want Rachel to maintain the website after the first 6 months.   We will have access to provide our own maintenance.

Todd Hesskamp seconded.  Motion passed unanimously. 

More discussion on this topic carried on in the evening and amended as such.

Bill made a motion to move forward with the constant contact (#2) and physical newsletter (#3) part of Mike’s proposal as well as shelving the web redesign (#4) until verification of the grant is approved.  Mike seconded. Tim was not in favor. All others were in favor. Motion passed. 

Paula will talk with Doug Patterson about the current KCR website.

David presented the Novice Regional Class proposal to the Board. Tim made the motion to approve as written. Chris seconded. Motion passed unanimously.

Paula updated the Board that she had acquired the title for SCCA Van. Jessica took the title so she could finish the Missouri registration.   

Todd noted that a trophy was not presented for Solo BSP and the winner was a first-time winner, first time banquet attendee. It was noted this may have been due to trying to streamline the trophy presentation and make things quicker. Paula noted she would write the attendee a personal note.

There being no further business, Tim Friest made a motion to adjourn; Chris Kern seconded. Motion passed unanimously. Meeting adjourned at 9:50 pm.
